Campus Engagement Staff Mini-Grants

With the return to in-person operations comes an opportunity to rebuild community and reshape and re-engage in the making of campus life. These mini-grants were established to foster staff members' creative ideas for new, exciting, and/or meaningful ways to gather, interact, and bring liveliness to campus spaces, thereby contributing to that shaping. Rather than fund team building for specific units, the aim is to create moments of connection open to staff from across the entire university and provide broad based opportunities for campus engagement.

We encourage any staff with such ideas and the motivation to make them happen to apply!

Guidelines

About

  • For events up to July 31, 2022
  • Intended to support events that will activate and bring liveliness to campus spaces (particularly outdoor ones), create excitement, and engage the broader staff community

Funding

  • Maximum $2,000 grant
  • Organizers may receive mini-grant funding support a maximum of two times for the year
  • Funds available to all benefits-eligible staff (including those not acting on behalf of or affiliated with a department or staff group). Funding uses may include, for example:
    • Speaker honorariums
    • Event Services orders
    • Vendor invoices
    • Event supplies/rentals
    • Food/catering
  • Funding will NOT support:
    • Purchasing of equipment or products that could otherwise be rented
    • T-shirts or giveaways (if only for an organization and unrelated to the event)
    • Donations or gifts to groups, organizations, or individuals
  • Mini-grant recipients may receive limited support from Stanford Campus Engagement only for financial transactions (e.g., pay invoices, make purchases via Pcard, etc.) when organizers are unable to do so themselves

Planning

  • Intended for in-person events on campus. Where applicable, events including a hybrid component may be considered. Not intended for fully remote events.
    • Applicants are encouraged to consider events that can be open to and engage the broader staff community
    • We highly encourage cross-collaboration between departments/units
    • We encourage organizers to consider diversity, equity, inclusion, and access in planning their event
    • Event planners must adhere to the event planning policies/guidelines on the Office of Special Events & Protocol website
    • All university financial policies for the purchasing of goods and services, including those about the purchase of alcohol and food for Business Meals, are to be followed
    • Staff whose applications are approved will be the primary organizers for the events. Stanford Campus Engagement can provide limited support specifically for processing financial transactions

Application & review process

  • Before applying, please review these guidelines and the application questions carefully
  • Organizers/applicants must be benefits-eligible staff members
  • There will be five opportunities for staff to apply throughout the rest of the academic year
  • The review committee will not consider incomplete applications. You are encouraged to apply in the next cycle, with a full and complete application
  • All decisions are final

  • Dec. 6: Online application form opens
  • Jan. 10: Online application form closes; application reviews and mini-grant decisions begin
  • Week of Jan. 17: Applicants hear back
Round 2
  • Jan. 24: Online application form opens
  • Feb. 7: Online application form closes; application reviews and mini-grant decisions begin
  • Week of Feb. 14: Applicants hear back

Spring quarter timing & deadlines

Round 1
  • Feb. 28: Online application form opens
  • Mar. 14: Online application form closes; application reviews and mini-grant decisions begin
  • Week of Mar. 21: Applicants hear back
Round 2
  • Apr. 4: Online application form opens
  • Apr. 18: Online application form closes; application reviews and mini-grant decisions begin
  • Week of Apr. 25: Applicants hear back

Summer quarter timing & deadlines

Round 1
  • May 9: Online application form opens
  • Jun. 6: Online application form closes; application reviews and mini-grant decisions begin
  • Week of Jun. 13: Applicants hear back
